Quotes & proforma

The quote you sent is the sale you ring up.

Price a basket, send it as a proforma, and let the customer think about it. Nothing has happened yet — no stock has left, no receivable exists, no journal has been posted — because a quote is not a sale. When they say yes, hand it to the register and the cart comes back exactly as you priced it.

  • Its own PRO- series, kept clear of the invoices you actually expect to be paid
  • Send it by email, print it on A4, then edit and re-send as the haggling goes on
  • The cart discount comes back the way it was entered — 7%, or a flat cedi amount
  • VAT and NHIL are captured on the quote, so an accepted price cannot be quietly re-taxed
  • Waived tax and per-line overrides travel with it to the till
  • Write one with no signal on the desktop app; it syncs when the network is back

Pull up the original sale, tick the lines coming back, and pick how to make it right — cash, the original tender, store credit, or a straight exchange. Stock goes back on the shelf and the books record the refund on their own.

Use the phone in your pocket before you buy anything

A spare phone becomes the barcode scanner. A second monitor becomes the customer screen. Add a thermal printer when the queue earns it — not before.

The things people ask before they sign up

Short answers, no salesmanship. If yours is not here, the chat inside the app reaches a person.

Does it really keep selling without internet?

Yes, on the desktop app. Sales, held sales, refunds and dispatches write to a local database on the machine and queue up. When the connection returns the queue drains in the right order, and because every offline sale carries its own ID, a replayed sale is still one sale. The browser version needs a connection.

Which payments can I take?

Cash, card, bank transfer, cheque, Mobile Money through Paystack, and store credit — or any split across them. Mobile Money can be shown as a QR on the customer-facing screen so the shopper pays from their own phone.

Does it handle Ghana VAT and the levies?

Yes. VAT, NHIL, GETFund and whatever levy the current budget adds are each set up as their own rate, and a rate can be marked as charged on the subtotal plus the levies rather than on the bare subtotal — which is how VAT actually works here, and adding it flat quietly under-charges you on every sale. Prices can be tax-inclusive or tax-exclusive, the breakdown prints on the receipt, and if you are on the Flat Rate Scheme a single rate covers it. On GRA E-VAT: the receipt is already built to print the fiscal invoice number, signature and a scannable QR, but the live connection to GRA is not switched on and we are not a certified vendor yet — we will change this answer the day that is true, not before.

Can I run more than one shop?

Yes. Stores, warehouses and distribution centres are all locations. Stock is counted per location, staff can be assigned to specific ones, and transfers move goods between them with a record on both sides.

I sell wholesale on credit. Is that handled?

That is what the dispatch register and settlements board are for. Send goods out to a delivery agent or distributor, an invoice is raised and their credit goes up. Later, record the payment on the settlements board and the balance and credit both come down.

I run a restaurant. Will this work?

For the counter, yes — and we would rather say that now than after you have paid. There is no table plan, no kitchen display, and no modifiers or notes on a line, so "no pepper, extra rice" has to be a separate variant. A takeaway window, a bar, a bakery, or a provisions shop with a hot counter runs on the register exactly as it is. A sit-down room with a kitchen will feel every one of those gaps. We are built for retail and wholesale first.

Do I have to use the accounting side?

No. Plenty of businesses run POS and inventory and never open it. When you are ready, set up the chart of accounts and your day-to-day operations start posting their own journal entries — you are not typing them twice.

Can my staff see everything?

Only what you allow. Six built-in roles, permission-level control, and location scoping — so a branch cashier sees their branch and their register, and nothing else. Voids, refunds and steep discounts can require a manager PIN.

What do I need to buy?

Nothing to start. A laptop or phone with a browser is enough. Add a USB barcode scanner and a thermal printer when the queue justifies it — or use a spare phone as the scanner and a second monitor as the customer display.

Can I move my existing data in?

Products, variants, customers and suppliers all import from a spreadsheet. You can also photograph a supplier receipt or a tally card and let the document scanner draft the products for you.

I have never heard of you. Why trust you with my shop's data?

Fair, and the answer should be things you can check rather than promises. The Free plan is not a countdown trial — load your real products and run a week on it before you pay anybody. The lists you actually work in — sales, stock, customers, invoices, the profit and loss — export to CSV, Excel or PDF from the page you are standing on, so your data leaves as easily as it arrived. The database is dumped, encrypted and copied off-site several times a day, not once a night. And the team is in Accra, in your own time zone.
